Job Description:
The Payroll Specialist is responsible for all areas relating to
payroll processing. This position will be responsible for
maintaining and further developing payroll principles, practices,
and procedures to ensure accurate and timely processing of biweekly
payroll. This position addresses tight deadlines and a multitude of
payroll activities including journal entry preparation, payroll
reporting, payroll account reconciliations, and year-end audit
preparation. The Payroll Specialist will have contact with
senior-level staff which requires strong interpersonal
communication skills both written and verbal.Typical Payroll
Specialist Duties:
- Ensure all employees are paid on time and accurately.
- Review and import time cards into the Paycom payroll
system.
- Process, calculate and post a variety of payroll actions
including, but not limited to, commissions, wage garnishments,
benefits withholding, and child support orders.
- Ensure all payroll-related remittances and filings are
processed timely and accurately and that the accounting for these
transactions is correct.
- Audit payroll documentation for accuracy through designated
reports and make any necessary adjustments, once necessary
approvals are obtained.
- Communicate with the Human Resources Department to ensure the
integrity of the payroll data including data related to new hires,
terminations, transfers, and rate changes.
- Process system updates as necessary.
- Research and resolve questions from managers and employees as
they relate to the processing of payroll information such as
vacation, sick leave, banking, garnishments, employment
verifications, workers compensation, payroll deductions,
retroactive pay calculations, and tax questions, and other
changes.
- Prepare and manage payroll reports.
- Create ad hoc reports of payroll data to support payroll
processes and financial analysis requests by management, and
ability to work with Paycoms Customer Service Team.
- Map payroll journal entries from payroll into accounting
software.
- Maintain payroll records according to retention regulations and
legal requirements.
- Provide reports and data to auditors, as requested.
- Assist in special projects as assigned by management.
- Update payroll system with a new hire, term, salary, personal,
and other information.
- Interact with all departments to ensure accurate payroll
information is received in a timely manner.
- Direct management and employees in using the time management
system.
- Work with Accounts Payable to process monthly transactions.
Payroll Specialist Skills / Qualifications:
- Associates Degree with accounting or bookkeeping focus
preferred
- Must be familiar with payroll systems or have a successful
track record of learning and/or implementing new payroll
systems
- Minimum 2 years of experience with computerized payroll
processing
- Experience with Paycom preferred
- Knowledge and ability to use independent judgment in regard to
Payroll laws and regulations (FLSA, tax compliance issues,
etc.)
- Ability to maintain the confidentiality of sensitive
information
- Solid analytical skills

- Must be detail-oriented and be able to meet deadlines
