Thank you for considering a career at Mercy Health SUMMARY OF JOB RESPONSIBILITIES: The Receptionist greets visitors, residents and their families. He/she provides directions to rooms, assists with wheelchair needs for visitors, and handles all incoming phone calls to the facility. The Receptionist also provides backup clerical support to the Executive Assistant and others in the Administrative Offices. The Receptionist provides uncompromising customer service at all times. The Receptionist must recognize resident rights at all times. ESSENTIAL JOB ACCOUNTABILITIES: * Serves as an ambassador of goodwill to all who enter Humility House. Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the center. Maintains order in the Front Office and Front Lobby. * Demonstrates Humility House's mission and core values of respect, compassion, interdependence, excellence and stewardship. * Exhibits ability to work as a team member and to contribute to the realization of team goals. * Answers and screens all incoming telephone calls in a courteous and professional manner. Routes calls and takes messages, as appropriate. * Greets all visitors in a friendly, courteous and professional manner. Screens and requires visitors to "sign in" at the reception desk. Directs visitors to resident's room or appropriate meeting place. * Provides administrative backup support to the Executive Assistant. Provides administrative support to others within the Administrative Offices. * Receives and processes mail, packages, flowers, newspaper, etc., for residents and facility staff. Accepts all out-going mail/packages. * Assists in the processing of applicants by providing pre-interview paperwork for completion prior to interview. Assists in the processing of new hires by providing pre-employment paperwork and taking photographs of new hires. * Orders supplies for the administrative staff on a regular basis. * Ensures that all facility personnel, residents, visitors, etc., follow established safety regulations, to include fire protection/prevention, smoking regulations, infection control, etc. Reports violations to the Executive Assistant. * Responds to and acts appropriately in emergency or disaster situations. * Notifies Executive Assistant of needed items, problems or concerns regarding families or residents. * Handles staff member and guests with lunch and dinner payments and processes meal orders in an accurate and timely manner. * Process and receive money from fundraisers as needed. * Files confidential information and exercises confidentiality at all times. OTHER JOB ACCOUNTABILITIES: * Perform other related duties as needed. * Attends in services and education activities as assigned. BEHAVIORAL EXPECTATIONS: * Communicates effectively and respectfully with staff, residents, families and other professionals; when under pressure, exhibits self-restraint. * Exercises sound independent judgment in resolving problems without precedent. * Demonstrates interest and self-motivation in a positive manner. * Is timely in meeting all deadlines. * Performs duties and responsibilities willingly. * Demonstrates strong customer-service skills. * Must possess a warm, friendly, outgoing personality and be professional in appearance and stature at all times. WORKING CONDITIONS: * Subject to handling emergency or crisis situations. * Subject to interruptions. * Subject to long, irregular hours as needed. * Scheduled accordingly to meet resident care needs/operational demands including overtime. POSITION REQUIREMENTS: * High School graduate or equivalent with demonstrated office or customer service experience. * Must be familiar with multi-line phone systems. Must possess working knowledge of computer software (Microsoft Word, Excel and Access). * Ability to type 30 - 35 words per minute preferred. * Must be available to work other shifts and holidays as required.
