Summary of Position
Ensures the day-to-day functionality of the assigned area's
operations and services as related to any assigned program,
initiative, or objective. Works under general supervision and may
make some work procedural decisions which do not contravene
policies. The class generally determines work sequences (which task
comes first) within any department/divisional guidelines.
Position Information
Maintains an understanding of degree progress and University
policies, regulations, and procedures, answering questions about
functionality and usability and directing users to appropriate
University resources as necessary.
Monitors and processes degree audit exceptions.
Processes curriculum updates, additions, and deletions and changes
to degree requirements in Degree Audit scribe; manages and
maintains integrity of data; assists in conducting regular reviews
of the academic catalog to ensure Degree Audit and Courseleaf
accurately reflects the requirements of each academic program.
Assists with training as needed.
Collaborates with colleagues and participates as an active member
on committees as assigned.
Works with constituents to modify and test degree audit
software.
Assists leadership with the planning and timeline of new
initiatives and projects based on university and department
goals.
Leads and coordinates special projects as assigned.
Understands procedures and systems related to records functions
providing support to department as needed.
Works collaboratively within the department, engaging in ongoing
communication and information sharing.
Investigates and resolves discrepancies that arise between degree
audit and SIS.
Maintains records communications and documentation (internally and
externally).
Handles highly confidential student information in accordance with
federal and state laws, university policies, and established
procedures. Ensures secure handling and dissemination of sensitive
data.
Represents the Associate Register at meetings and events as
needed.
Works with university constituents on the auditing,
troubleshooting, and publication of the University Catalog.
Provides additional support in maintaining the student information
system, Ellucian Banner, as needed.
Serves as a liaison with stakeholders and IT for Penguin
Intelligence and other student data reporting initiatives.
Other Functions and Responsibilities: Performs other related duties
as assigned.
Equipment Operated: Computer and all other standard office
equipment.
Work Schedule: Typically, Monday through Friday.
Supervision Exercised: May exercise supervision over student
employees.

Qualifications and Competencies
Required Certifications, Training, and/or Licensures: None
Knowledge, Skills, and Abilities:
Knowledge of: University policies and procedures*; office practices
and procedures*; FERPA, federal and state regulations and policies,
records management; office management; project management.
Skill in: Use of office equipment; typing, data entry; computer
operation; use of computer software and other programs applicable
to the assigned department/division*; aptitude for technology;
interpersonal skills, public speaking, flexibility, active
listening, positive attitude.
Ability to: Work independently and follow through on assignments
with minimal direction; manage large-scale projects over an
extended period and work efficiently in a fast-paced environment;
collect data, establish facts, and draw valid conclusions;
determine material and equipment needs; compile and prepare
reports; use proper research methods to gather data; understand a
variety of written and/or verbal communications; maintain records
according to established procedures; effectively interact with
personnel and public to answer routine questions; train or instruct
others; move quickly and effectively from one tasks to another;
develop and maintain effective working relationships.

Minimum Qualifications: At least a bachelor's degree and one year
of related experience.
Preferred Qualifications: Master's degree. Knowledge of Ellucian
Banner and Degree Works software. Experience with project
management. Experience with higher education curriculum. One year
experience year in records management or relational database
management and understanding.
